The MINHAP publishes its policy of electronic document management

El Ministerio de Hacienda y Administraciones Públicas (MINHAP) acaba de publicar su Política de gestión de documentos electrónicos, como resultado de un esfuerzo multidisciplinar, esencialmente de archiveros y personas con responsabilidad en archivos y de expertos en tecnologías de la información y las comunicaciones, enriquecido con la participación de expertos de diferentes organismos administrativos del MINHAP, de Archivos Estatales y del Ministerio de la Presidencia.

La Política de gestión de documentos electrónicos del Ministerio de Hacienda y Administraciones Públicas (Opens in new window) (MINHAP) has been prepared by the support group of technology and Regulation (GATN), created within the working group to the coordination of files (GTCA), under the coordination of the General secretariat Technique.

In its preparation have participated experts multidisciplinary origin, essentially archivists and people with responsibility for files and experts in information technologies and communications; it also has been enriched with the participation of people of different administrative agencies of MINHAP: General Secretariat Technique, General Direction of cadastre, State Agency for tax administration, General Intervention of the administration of the state, General Direction of public function, National Institute of public administration, direction of information technology and communications (formerly General direction of Administrative Modernisation, procedures and Momentum of E-government), General Office information technology and communications, Division of Information and communications systems and inspection General. Also, have formed part of the group of experts General each State files and the General Office Technologies (Secretariat of State of Culture) and ministry of the presidency.

The Policy of electronic document management (Opens in new window) it is accompanied by another document with complementary presentations (Opens in new window) covering issues such as metadata, electronic signature, registration, documentary series, conservation, treatment of email as electronic document, transfer of electronic documents, destruction or safe disposal of electronic documentation and computer mediums and valuation documentary.

The Policy of electronic document management (Opens in new window) applies to the ministry of finance and public administrations; however, given the diversity of experts who have participated in its elaboration, it should be noted their applicability or adoption by agencies and entities dependent on MINHAP. Also, this diversity facilitates reuse with limited adaptations in other ministerial departments. Indeed, once published is available and free use of agencies and entities of any public administration.
